  Job Description  
 
Job Summary: The position will be based out of the Foundation office at Sarjapur Road, Bangalore and will be responsible for administrative & facilities management services support to the District Institutes across the different states where the Foundation operates.

The main job responsibilities for this position are as below:

  • To provide support in all aspects of administration and facilities management including strategic planning, vendor management and logistics management
  • Guidance to location team members on Facility management services for cost effective operation of facilities, preventive maintenance schedules, repair & maintenance of buildings & equipments
  • Provide support and guidance to location teams in following areas;
  • Procurement of the assets which will be required for the District Institute/ Teacher Learning Centre
  • Vendor Management: Follow up / Track delivery / work completion, follow up for bills, track movement of invoices from submission date to payment date
  • o Contract Management for outsourced services Security, housekeeping, AMCs, travel arrangements
  • Process Standardisation and capacity building of location admin & facilities team
  • Cost optimization initiatives
  • Coordinate with internal stake holders (Infrastructure Management Function, Finance Function etc.) and external stakeholders (such as vendors etc.) amicably for enabling these activities 
  • Oversee and manages annual budgets (CAPEX & OPEX) 
  • Provide a consistent framework for building expenditures and repairs, analysis of operating expenses and other issues essential to operation of owned or leased properties
  • Recommend the appropriate utilization of space and the solution of facility or administration related issues
  • Monitors energy usage and conservation in leased or owned facilities
  • Maintains cooperation and positive relations with building occupants, contractors, public officials and the general public
  • To promote continuous improvement of workplace safety & environmental practices and maintenance of equipment & supplies
  • Work with outsourced agency to define SLAs for service delivery and review them regularly

Qualification & Experience:

  • 10 -15 years of administration & facility management experience
  • Relevant graduation / post-graduation, persons with technical qualification and experience in Facility Management & Administration will be preferred 

Skills and Attributes:

  • Willingness to travel and ability to provide functional support to multiple locations
  • Interest and passion to work in social sector
  • Good office management, coordination skills and communication 
  • Ability to build relationship and network with internal and external stakeholders
  • Proficiency in MS Office (Excel, Word and PowerPoint)
